Office Attendance - Our roles are hybrid; however, you should be able to travel to our Newcastle office, 3 days per week for this position.

We’re looking for a Personal Assistant to join our Insurance and Money Services team in our Newcastle office.

Reporting to the Executive Leadership Support Manager, this role will support a member of the Insurance and Money Services executive team in their daily schedule, communications and travel arrangements.

What you’ll be doing

• Schedule Management: Efficiently handle the daily schedule, communications, and travel arrangements of your Executive member.
• Calendar Management: Keep the manager’s calendar up-to-date, scheduling appointments and reminders.
• Email and Communication Management: Read, monitor, and respond to the manager’s emails, ensuring timely communication.
• Drafting Correspondence: Prepare initial drafts of correspondence on behalf of the manager.
• Delegating tasks effectively.
• Meeting Preparation. Organising materials, agendas, and logistics for meetings and presentations.
• Document Management: Maintaining files, records, and confidential documents efficiently.
• Expense Tracking: Monitoring and reconciling expenses, ensuring accuracy and compliance.

We need you to have

• Time Management: Efficiently manage schedules and tasks on behalf of senior-level teams.
• Clear and professional communication with supervisors, CEOs, staff, and clients.
• Technology Proficiency - familiarity with relevant tools and software.
• Critical Thinking: Ability to analyse situations and make informed decisions.
• Problem Solving: Tackle challenges effectively.
• Organisation: Keep everything in order for your Executive member, including calendars and tasks.
• Interpersonal Skills: Build positive relationships.
• Networking: Cultivate connections within and outside the organisation.

And if you have any of these, even better

• PA experience within a financial services background would be preferred
• Experience with Resource Booking Systems: Familiarity with systems for travel, venue, and resource bookings.
• Budget Management: Proficiency in tracking and managing cost centres and budgets.
• Project Management: Experience in coordinating and managing projects or events, especially those related to executive support or office operations.
• Crisis Management: Ability to handle urgent situations, crises, or sensitive matters with composure and efficiency.
